Administrative Coordinator’s Responsibilities

Administrative Research

Responsible for conducting research to support various administrative functions. This includes gathering and analyzing information relevant to company operations, such as new tools, best practices, or industry trends.

Task and Slack Management

Oversee both task management in ClickUp and communication in Slack. They will ensure all tasks are on schedule, properly assigned, and that there are no unassigned tasks. Additionally, they will monitor team members’ submission of Daily 2 + Focus Time reports, following up or redirecting as needed.

Company Email Monitoring

Manage various company email inboxes, including Info, WebDev, Accounts, and Social. Their role will involve sorting through emails and assigning tasks based on the content, ensuring that all inquiries and requests are addressed in a timely and organized manner.

KPI Team Monitoring

To ensure the team stays on track, the Administrative Coordinator will monitor the submission of Key Performance Indicators (KPIs), making sure they are completed by all team members before the Monday meetings.

Team Building, Gifts & Condolences

Organize and coordinate monthly team-building activities to foster a positive team dynamic. Recognizing important personal events for team members, such as birthdays and losses.

Meeting Notes

take detailed notes and create tasks based on the next steps discussed. They will ensure that meetings proceed as scheduled, even in the absence of some team members, keeping the team aligned and moving forward.

Calendar Checks

Regularly check that all team members have their calendars filled out correctly and consistently. This ensures that everyone is aware of their commitments and that the team operates smoothly and without scheduling conflicts.

Project Management

Track project timelines, allocate resources, and make sure that each project milestone is met. Additionally, you'll serve as the point of contact for internal stakeholders, providing updates on project progress and addressing any issues that may arise.
